Arts and Culture Administrative Assistant

POSITION SUMMARY
We are seeking a dynamic and organized Administrative Assistant interested in Arts and Culture to join our team. The successful candidate will play a pivotal role in ensuring the smooth operation of our office and support various administrative functions within the organization. This position requires excellent communication skills, attention to detail, and a passion for the arts.
Key Responsibilities:
- Office Management: Oversee day-to-day office operations, including managing office supplies, organizing files, and maintaining a tidy workspace.
- Administrative Support: Assist with scheduling meetings, coordinating calendars, and preparing correspondence. Provide support to staff and board members as needed.
- Event Coordination: Assist in planning and executing events, including performances, workshops, and community outreach programs. Handle event logistics, invoicing, and moderate ticket sales.
- Customer Service: Serve as the first point of contact for visitors, patrons, and artists. Answer inquiries via phone, email, and in-person, providing exceptional customer service.
- Grant Database Management: Maintain accurate records of databases. Assist in data entry, tracking donations, and generating reports.
- Marketing Support: Collaborate with the marketing team to assist in the creation and distribution of promotional materials, newsletters, and social media content.
- Financial Support: Support financial operations, including processing invoices, payments, tracking expenses, and assisting with budget preparation.
- Special Projects: Participate in various special projects and initiatives as needed, contributing to the overall success of the organization.
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Previous experience in an administrative role, preferably within a cultural or nonprofit organization.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), familiarity with database management and QuickBooks.
- Ability to work independently and as part of a team.
- Flexibility to work occasional evenings and weekends for events and performances.
- Passion for the arts and cultural diversity.
- Fluent in English and Spanish. Portuguese is a plus.
